Multi-Location Car Wash Software: What It Should Do for Every Site
What software for several car wash locations has to handle beyond the POS: one view of every site, the same routines everywhere, floaters, repairs, claims and training. Plus the questions to ask in a demo.
Multi-location car wash software lets an owner or district manager see what every site is waiting on without driving to each one, and run every site to the same routines. Your point-of-sale system already reports sales, wash counts and memberships by site. Operations software covers the work behind those numbers: inspections, repairs, chemicals, supplies, schedules, training and damage claims.
This guide covers what changes once you run more than one wash, what to check before you buy, and how WashConsole handles each part.
What Changes After the Second Site
With one wash, you see most problems yourself. With three, you hear about them later, usually by phone.
- Routines drift. Each manager edits the opening checklist a little. A year later every site checks something different.
- Repairs wait in someone's head. A failed inspection item at one site does not reach the technician who covers all of them.
- People float. A lead covers two sites on Saturdays, and their hours land in two places.
- Claims get handled site by site. One manager pulls footage and keeps photos. Another writes the customer's name on a sticky note.
- Stock sits in the wrong place. One site runs out of a nozzle that is on a shelf across town.
None of this shows up in the POS reports. It shows up as a closed bay, a bad review, or a claim you cannot defend.
What to Look For
Use this table in a demo. Ask the vendor to show you each row on a real screen, not a slide.
| What you need | What to check in a demo | How WashConsole does it |
|---|---|---|
| One view of every site | Can you see which sites need attention without switching through each one? | With two or more sites, the AI Site Coach becomes the Portfolio Coach: a card for each site marked All clear, Needs attention or Critical, and the top priorities across all of them. Click a card to open that site. |
| The same routines everywhere | Can you build a checklist once and put it on every site? | Copy a list, an inspection or your opening, midshift and closing tasks to other sites. Each site shows what it will get first, and a copy only adds what that site is missing. |
| Each site's own equipment and stock | Does a count or repair at one site stay at that site? | Every site keeps its own equipment, inventory, chemicals, tasks and schedule. The location picker at the top switches between them. |
| People who work at more than one site | Can one person clock in and be scheduled at several sites with one login? | Give someone access to several sites and a primary site. They clock in at whichever assigned site they are at, and the schedule warns you before booking them at two sites at once. In the time clock, Hours by Team Member shows their weekly total across sites. |
| Repairs that get done | Does a failed inspection item turn into a repair you can assign and track? | A failed item becomes a work order tied to its equipment, ready to assign to a technician. Parts used on the repair come out of inventory. |
| One claims process | Does every site handle a damage claim the same way? | Every claim names its next step: an owner, the evidence, a decision, any payment. It cannot close without a recorded decision and its evidence, unless the evidence is waived with a reason, and money still owed at close becomes a payment follow-up with a due date. Export a printable claim summary for the insurer. |
| Training that does not depend on who trained whom | Can a new hire at any site get the same courses? | Assign courses by role or person with due dates, and use onboarding paths to enroll new hires automatically. |
| Pricing that grows with sites, not headcount | Is it priced per user, per module, or per site? | Priced per site, by site type, with every feature included and no per-user fees, up to 50 active team members per site. |
Where the POS Fits
Keep sales, memberships, wash counts and payments in your point-of-sale system. WashConsole does not process payments or replace the POS. It runs the operational work at each site and works alongside the pay stations you already have. If you need a specific connection between the two, confirm it in your demo.
That split matters when you compare software. A POS vendor's "management" features are usually about sales and members. An operations platform is about whether the work got done.
A Weekly Review Across Sites
Fifteen minutes on a Monday covers most of it.
- Open the Portfolio Coach. Start with the sites marked Critical or Needs attention, then read the top priorities.
- Check open work orders by site. Anything older than a week needs a name and a date.
- Look at missed work. The To-Do insights show which days each site misses tasks. A site that misses every Saturday has a staffing or training problem, not a checklist problem.
- Read the claims that are waiting. Each one says what it needs next: an owner, photos, a decision or a payment.
- Check hours. The schedule warns you before someone goes into overtime as you build the week, and the time clock shows a floater's hours across sites.
Then fix the routine, not just the site. If one site keeps missing a step, copy the better version of the checklist from the site that gets it right.
Questions to Ask Any Vendor
- Show me every site's open work on one screen. How many clicks to get there?
- If I change a checklist at one site, how do I put it on the others?
- What happens to a floater's hours when they work at two sites in one week?
- Can a damage claim be closed without photos or a decision?
- Is the price per site or per user, and what happens when I hire for the busy season?
- What does setup include, and who imports the equipment and checklists I already have?
Getting Started
Start with your best-run site. Build its checklists, equipment list and schedule first, then copy the routines to the next site and adjust for its equipment. See pricing by site type, read how multiple locations work in WashConsole, or book a demo and bring two sites' worth of questions.
