Five notes the chart cannot show

1. Managing people mostly works downward. Where the chart gives a Site Lead or Manager an X for approving time, resetting a PIN or changing someone's Account Type, that applies only to people below them: a Manager cannot re-role another Manager, and a Site Lead cannot re-role another Site Lead. Owners can manage anyone. The schedule is the exception worth knowing, because peers can edit each other's shifts there.

2. Managers clock in only if you turn it on. It is off by default and there is an account setting for it. Owners have no clock-in at all.

3. Sites decide what a Site Lead and below can see. Owners and Managers see every site in the account, whatever you assign them. Site Leads, Technicians, Employees and Associates see only the sites you give them. So assigning sites is how you contain a Site Lead, and it is not how you contain a Manager: if that matters to you, the tool is the Account Type, not the site list. If someone says a page is empty, check their site assignments first, because no assigned site looks exactly like a broken page.

4. An inspection template can restrict who runs it. If you limit a template to Technicians, a Site Lead cannot start that one. Supervisors can still see their team's inspections either way.

5. Associates are kept out of the business picture on purpose. Every dash in the Associate column is deliberate. They clock in, do the work in front of them, train and chat, and they do not see work orders, complaints, reviews or costs.

Which one to give someone

Associate is for shift-only staff: greeters, loaders, prep, seasonal help. You can set someone to Associate on the website or in the iPhone app.

Employee is your default frontline account. Anyone who logs a complaint or looks up an equipment problem is an Employee.

Technician is for anyone who fixes things. The line is creating rather than doing: an Employee logs a chemical level, a Technician adds the chemical.

Site Lead runs the floor. Schedules, time approvals, People Review and the crew below them.

Manager adds payroll: pay rates and the payroll export. If what a Site Lead cannot do is not about payroll, check their site assignments before you promote them, because that is usually the real answer.

Owner should be the one or two people who hold the credit card.

Start people lower than feels natural. Moving someone up takes ten seconds, and every day they spend a rung too high is a day they can see numbers you did not mean to share.
