Connecting WashConsole to Claude

Link your account to the Claude AI assistant and ask questions about your wash in plain English. Read-only, owner and manager only.

What This Does

You can connect your WashConsole account to Claude, the AI assistant, and then ask questions about your car wash in plain English:

  • "What's overdue at the Airport location?"
  • "Which chemicals are running low?"
  • "Am I covered this Saturday?"
  • "Which bay generates the most damage claims?"

Claude reads your WashConsole data to answer. It cannot change anything.

Read-Only, Always

The connection is read-only. Claude can look at your account, but it cannot:

  • Create, edit, or delete anything
  • Clock anyone in or out
  • Change schedules, tasks, work orders, or inventory
  • Touch your billing or subscription

There is no setting that makes it writable.

Who Can Connect

Owners and managers only.

Site leads, technicians, and employees cannot connect an assistant. The approval screen refuses them.

Your role is re-checked from your live team record on every single request — not just once when you connect. If someone is demoted or removed from the team, their connection stops working on the next question they ask.

How to Connect

Start from Claude's side, not from WashConsole.

  1. In Claude, add WashConsole as a connector
  2. Claude sends you to a WashConsole approval screen
  3. Sign in if you aren't already signed in
  4. Check the account shown on the screen (see the next section)
  5. Approve
You add the connector in Claude

  ↓
You sign in and review the request
  ↓
You approve
  ↓
Claude can now read your wash data

Check Which Account You're Approving

The approval screen shows Signed in as with your email address. Read it before you approve.

A WashConsole login belongs to exactly one account. If you run more than one business and keep a separate login for each, the connection is tied to whichever login you approved with — there is no account picker on the approval screen, and you can't switch it afterward.

If the email is wrong: sign out, sign back in with the right login, and start again from Claude.

What Claude Can See

Claude reads through a fixed set of lookups. It cannot run its own queries.

If you're a manager, Claude only sees the sites you're assigned to. If you're an owner, it sees every site in the account.

What Claude Can Never See

Some data is withheld by design. It is not a setting, and no role unlocks it:

  • Staff contact info and HR details. Names and roles are visible; email addresses, phone numbers, photos, and personal records are not.
  • Time clock punches. No clock-ins, clock-outs, or hours.
  • Time off and PTO.
  • Anything payroll — pay rates, compensation history, timesheets, payroll exports.
  • Individual schedule rows. Claude can tell you *how many* people are on Saturday, never *who*.
  • Customer identity on complaints — no name, phone, email, address, license plate, VIN, or payout amount.

Reviewer names on Google reviews aren't exposed either.

Free-text fields your staff typed — like a work order description — are scrubbed for email addresses and phone numbers before they leave. That scrubbing catches patterns, so treat it as a safety net, not a guarantee: a customer's name typed into a description is not a pattern, and can still come through. Keep customer details out of free-text notes.

How to Disconnect

  1. Go to Settings
  2. Find the Connected AI assistants section
  3. Click Disconnect next to the assistant, then Confirm?

Disconnecting takes effect immediately.

Owners see every connection in the account, including ones a manager set up, and can disconnect any of them. Managers see only their own.

Where the Data Goes

Worth understanding before you connect: answers land in a chat transcript on whatever machine and account you're using Claude from, and they stay there. That may be a personal laptop under a personal Claude account.

This is why the withheld list above is as strict as it is — and it's a good reason to think about who in your business holds a connection.

Important

  • Every question Claude asks your account is logged for 90 days.
  • Disconnecting is instant, and so is a role change — demote a manager and their assistant stops answering.
  • If you're not sure whether an assistant is still connected, check Settings → Connected AI assistants. It shows when each was connected and when it was last used.
