Managing Your Inventory
Track supplies, set reorder points, and scan barcodes for quick updates.
Why Track Inventory?
Never run out of critical supplies again. WashConsole:
- Tracks what you have
- Warns when stock is low
- Auto-creates supply orders
- Values your inventory
Adding Inventory Items
- Go to Inventory in the sidebar
- Click Add Item
- Fill in:
- Name — Product name
- Quantity — How many you have
- Unit — Select from the dropdown: Each, Box, Case, Bag, Gallon, Liter, Oz, Pail, Drum, Roll, Pack, Pair, Bottle, Carton, Kit, Set, or Other
- Reorder Point — When to order more
- Cost — Price per unit (optional)
Updating Quantities
Quick Method
Click the +/- buttons next to any item.
Scan Method
- Click Scan to Stock
- Point your phone camera at the barcode
- Adjust the quantity
- Save
Batch Scan Mode (February 2026)
For high-volume usage tracking:
- Click Use Item
- Scan multiple items continuously — a floating counter shows how many you've scanned
- Each scan records the item and quantity used
- Click Complete to see a summary of all changes
- Review the summary, then click Apply to update all quantities at once
Unrecognized barcodes? If an item isn't found, you can create it directly from the scan screen.
Adjustment Audit Trail (February 2026)
Every quantity change is tracked automatically:
- Open any item → Click Edit → Scroll to Recent Changes
- See who changed the quantity, when, and the exact amounts (e.g., "10 → 8")
- Covers all adjustment types: +/- buttons, manual edits, cycle counts, batch scans, and order receipts
Cost Backfill (February 2026)
When you add or update a cost on an inventory item:
- WashConsole checks if any past work orders used that item without a cost
- A prompt appears asking if you'd like to apply the cost retroactively
- Clicking yes updates material costs on those work orders so their totals are accurate
Low Stock Alerts
When quantity drops below the reorder point:
- Item shows a yellow warning
- Appears in your AI Coach briefing
- Can auto-create a supply order
How It Connects
Inventory drops below reorder point ↓ Supply Order auto-created (or you create manually) ↓ Order status: Pending → Ordered → Received ↓ When received, inventory quantity updates
Tip
Set reorder points based on how fast you use items. If you use 5 towels per day and delivery takes 3 days, set reorder point to at least 15.
