Time Correction Requests
Employees request fixes to their time. Managers review and approve. Full audit trail.
Why Corrections Happen
Sometimes employees:
- Forget to clock in or out
- Clock in at the wrong time
- Phone battery dies
- Need to add a missed break
They can request a correction instead of asking you to manually fix it.
Types of Corrections
1. Fixing an Existing Entry
- Go to Time Clock
- Find the entry that needs fixing
- Click Request Correction
- Enter the correct clock-in and/or clock-out times
- Provide a reason
- Submit
2. Missing Shift ("Forgot to Clock In")
- Go to Time Clock
- Click Forgot to Clock In? button
- Select the date
- Enter what your times should have been
- Provide a reason
- Submit for manager approval
3. Break-Only Corrections
- Find the entry
- Click Request Correction
- Add or modify break times only
- Submit
4. Manager-Requested Corrections
If a manager notices an issue with your time:
- They can request YOU fix it
- You'll see a pending request in your Time Clock view
- Click to respond with the corrected times
Manager Review Process
Reviewing Requests
- Go to Time Clock
- See Pending Corrections section
- For each request:
- Employee name and date
- Original times vs requested times
- Their reason for the correction
Before/After Comparison
The system shows you exactly what will change:
- Original clock-in → Requested clock-in
- Original clock-out → Requested clock-out
- Any break changes
Overlap Detection
If the corrected times would overlap with another entry:
- System warns you before approving
- You can still approve with confirmation
Approve or Reject
- Approve: Times are updated, marked as "Edited" in audit trail
- Reject: Employee is notified, no changes made
Direct Manager Edits
Managers can also edit time entries directly:
- Find the entry in Time Clock
- Click the Edit button
- Modify clock-in, clock-out, or breaks
- Save
The original times are preserved in the edit history for audit compliance.
Audit Trail
All changes are tracked:
- Who made each change
- When changes were made
- Original vs new values
- Reason provided
This history is preserved for payroll audits and compliance.
Tips
- Review corrections weekly – don't let them pile up
- Ask for reasons to understand patterns (frequent forgotten punches may need coaching)
- Check AI Audit Flags to proactively find issues
- Use "Request Correction FROM employee" when you spot a problem
