Using the Export
The Hours Summary is a readable report. It is not a payroll import file: its hours have no regular/overtime split, so importing it would pay every hour at the regular rate.
To produce a file your payroll system can import, go to Time Clock, press Export, and choose Payroll import file. Two shapes are available:
- Paychex Flex: an exact Standard Payroll Import file. Ask Paychex to enable Standard Payroll Import on your account first, then import it under Payroll Center, More Options, Import Payroll Data.
- Every other provider, including isolved and Netchex: a simple file with one row per person per pay code. Send it to your payroll rep once and they will set up a matching import template.
Before either will work, each person needs their payroll ID entered in WashConsole, and your regular and overtime pay codes need to be set. Anyone missing a payroll ID is named on screen and left out of the file, so check that warning before you upload.
If you pay twice a month
When your pay period is set to twice a month (Time Clock settings, Pay week), Export lists your pay periods instead of weeks: This pay period and Last pay period, for example Oct 1 - Oct 15. The Timesheet then covers exactly that period's days. Overtime is still counted by work week: a week that starts before the 1st or the 16th counts its earlier days toward 40 hours, but those days were paid in the period before, so they are not in the file. If someone had a punch still open or a break nobody ended on those earlier days, WashConsole names them before you download, because fixing it can change this period's overtime. Payroll import files can't be built for twice a month yet; use the Timesheet, or send the pay period from Push to Netchex.
Each file covers one site, and overtime is counted one site at a time. If someone worked at more than one of your sites in the same week, overtime that only shows when the sites are added together is in neither file: 25 hours at each site is 50 hours, 10 of them overtime, yet each file shows 25 regular hours. WashConsole names these people before you download. Enter their overtime in your payroll system by hand. If you pay through Netchex, sending that week from WashConsole counts overtime across every site.
Do not open the file in Excel before importing. Excel removes leading zeros, which stops employee numbers like 00417 from matching.
