Time Clock & GPS Verification

Employees clock in from their phones. GPS proves they're at your car wash. Supports offline operation.

How It Works

  1. Employee opens WashConsole on their phone
  2. Taps Clock In
  3. Phone determines their GPS location
  4. System checks if they're at the car wash
  5. If yes → Clock in recorded ✓
  6. If no → Warning shown (can still clock in, marked "Off-Site")

What Employees See

At the right location:

  • Green success message
  • Shift timer starts
  • Today's hours and 7-day total displayed

Too far away:

  • Warning with distance shown
  • Options: Cancel or Clock In Anyway
  • If they clock in anyway, it's marked "Off-Site" for manager review

Offline Support (January 2026)

Clock in/out works even without internet:

  1. If offline, punch is saved locally
  2. "Offline" indicator shows on screen
  3. When back online, pending operations sync automatically
  4. Offline punches are flagged for manager review
  5. No data is lost – punches queue up safely

Tip: Employees in areas with spotty cell service can still punch reliably.

Break Tracking

Employees can add breaks after clocking out:

Adding a Break

  1. Clock out from your shift
  2. Find your time entry in the list
  3. Click Add Break
  4. Enter break start and end times
  5. Save

Break Rules

  • Breaks must be within the shift (after clock-in, before clock-out)
  • Breaks cannot overlap with each other
  • Multiple breaks per shift are supported
  • Break time is subtracted from total hours
  • Break times appear on timesheets and exports

Requesting Corrections

For Existing Entries:

  1. Find the entry in your time log
  2. Click Request Correction
  3. Enter the correct clock-in and/or clock-out times
  4. Provide a reason (e.g., "Forgot to clock out, left at 5pm")
  5. Submit for manager approval

For Missing Shifts ("Forgot to Clock In"):

  1. Click Forgot to Clock In? button
  2. Select the date you forgot
  3. Enter what your times should have been
  4. Provide a reason
  5. Submit for manager approval

What Managers See

Overview Tab

  • Active Now: Who's currently clocked in
  • Today's Entries: All time entries for today
  • Weekly Hours Summary: Table showing hours by employee for last 4 weeks
  • Pending Corrections: Employee correction requests awaiting approval
  • AI Audit Flags: Anomalies detected by the system

AI Audit Flags (January 2026)

The system automatically detects:

  • Off-site punches: Clock-in/out too far from location
  • Missed clock-outs: Someone still clocked in past closing time
  • Overlapping shifts: Two active entries for same employee
  • Overtime: Hours exceeding 8/day or 40/week

Managers can review each flag and take action (edit, approve, or dismiss).

Manager Actions

  • Approve/Reject Corrections: Review employee requests with before/after comparison
  • Direct Edit: Modify any time entry (edit history preserved)
  • Request Correction: Ask an employee to fix their own times
  • Delete Duplicates: Clean up accidental duplicate entries
  • Export for Payroll: Download CSV with hours breakdown

Adjustment History Tab

  • Complete record of all time adjustments
  • Who made changes and when
  • Original vs corrected times
  • Audit trail for compliance

Recommendation: Employees should clock in from their phones for best GPS accuracy.

Adjusting the Geofence

If employees get false "off-site" warnings:

  1. Go to DirectorySites tab
  2. Edit your location
  3. Increase the Geofence Radius (try 300m)
  4. Save

The default 200m radius works for most car washes. Increase it if you have a large property or parking lot.

Tips

  • Check AI Audit Flags regularly to catch issues early
  • Review overtime warnings before payroll
  • Encourage employees to clock in from their phones
  • Process correction requests weekly to keep things current
