How Equipment is Organized

Equipment in WashConsole follows this hierarchy:

Step-by-Step Setup Process

Step 1: Create Your Zones First

  1. Go to Equipment in the sidebar
  2. Click + Add Equipment
  3. In the Zone dropdown, click "+ Add new zone"
  4. Create your main zones one by one:

- Equipment Room

- Self-Serve Bays (or Express Tunnel)

- Vacuum Lot

- Vending Area

Step 2: Add Equipment to Each Zone

For each piece of equipment:

  1. Click + Add Equipment
  2. Select the Zone from the dropdown
  3. Select or create a Location within that zone
  4. Choose the Equipment Type (or create a new one)
  5. Add a Name if needed (e.g., "Unit #1" or "Stations 1-4")
  6. Click Save

Step 3: Set Up PM Schedules

For critical equipment:

  1. Click on the equipment item
  2. Find the PM Schedules section
  3. Click + Add PM Schedule
  4. Set:

- Task Name — What maintenance to perform

- Frequency — Every X days

- Last Completed — When it was last done

  1. Save

Step 4: Verify Your Setup

Walk through your car wash physically and verify:

  • Every major piece of equipment is in the system
  • Zones match your actual physical layout
  • PM schedules are set for critical items
  • Nothing is missing

Equipment Status Explained

Each piece of equipment has one of three statuses:

Automatic Status Changes:

  • When you create a work order → Status changes to "Maintenance"
  • When work order is approved → Status returns to "Online"

Don't try to add everything at once. Start with:

  • Payment systems (no payment = no revenue)
  • Core wash equipment (conveyor, pumps)
  • Vacuums (customer-facing)

2. Use Consistent Naming

Pick a naming convention and stick with it:

  • Good: Bay 1, Bay 2, Bay 3, Bay 4
  • Bad: First Bay, Bay Two, 3rd Bay, Bay Four

3. Group vs. Individual Tracking

  • Group when equipment moves together (e.g., "Vacuum Stations 1-4")
  • Individual when you need separate maintenance history (e.g., "Vacuum 01", "Vacuum 02")

4. Add Barcodes for Fast Lookup

If you have a barcode scanner:

  1. Generate barcodes for equipment
  2. Print and attach labels
  3. Scan to quickly pull up equipment details

5. Link Work Orders to Equipment

Always select the specific equipment when creating work orders. This builds valuable maintenance history over time.
