Chemical Tank Levels

Track tank levels and backup inventory separately. Get alerts when levels are low.

What Are Chemical Tanks?

They track the fill level of your chemical containers:

  • Triple Foam tank
  • Tire Shine tank
  • RainX tank
  • Bug Remover tank
  • etc.

Adding a Chemical

  1. Go to Chemicals in the sidebar
  2. Click Add Chemical
  3. Fill in:

- Chemical name — Product name

- Zone — Physical area (e.g., "Self-Serve Bays")

- Location — Specific spot (e.g., "Bay 1")

- Target on-hand — How many gallons to keep stocked

- Reorder at — When to trigger an order

Tank Level vs Inventory Level

WashConsole tracks two separate levels for each chemical:

Total Remaining = Tank Level + Inventory Level

Updating Levels

  1. Click on a chemical
  2. You'll see two fields:

- Tank Level — What's in the active tank

- Inventory Level — Backup drums/totes in storage

  1. Enter the current gallons for each
  2. Save

Tank Checks To-Do List (March 2026)

Use chemical checks as repeatable to-do work:

  1. In Chemicals, set Tank Check Frequency (Daily, Weekly, Monthly, or Annual)
  2. The system creates recurring tank check tasks based on that frequency
  3. Teams complete those checks in the normal to-do workflow
  4. This is a location-level setting (set it per site)

Refill tank at (March 2026)

Set each chemical's refill trigger so the team gets ahead of shortages:

  1. Open Add Chemical or Edit Chemical
  2. Set Refill tank at (gal)
  3. When the machine tank hits that value or below, WashConsole auto-creates a refill to-do

Excess and Archived Filters (March 2026)

Use filters to quickly find problem tanks:

  • Excess: shows tanks above target stock (over target on-hand gallons)
  • Archived: shows inactive tanks for historical review
  • If Low or Excess is active, Archived is disabled until those filters are off

Usage Setup (March 2026)

In a chemical's settings, you can document the operating setup:

  • Dispensing Type: Metering Tip, Fixed Tip, Direct Injection, or Dosatron
  • Dispensing Detail / Dial Setting
  • Dilution Ratio
  • mL per Car
  • PSI
  • Injector Size or Gallons Per Minute for Dosatron
  • pH Level
  • Last Titrated Date
  • Notes

Keeping this updated helps handoffs between shifts and improves troubleshooting consistency.

Smart Auto-Reduce

When you refill a tank from backup inventory, WashConsole is smart:

Before: Tank = 5 gal, Inventory = 50 gal
You refill the tank from a drum
After: Tank = 30 gal, Inventory = 25 gal (auto-reduced!)

The system automatically reduces inventory when tank level increases, keeping your totals accurate.

Low Level Alerts

When total remaining drops below your reorder point:

  • Chemical shows a warning
  • Appears in AI Coach briefing
  • Can auto-create a supply order

How It Connects

Tank Level: 5 gal + Inventory: 10 gal = 15 gal total
  ↓
Below reorder point of 20 gal
  ↓
Supply Order auto-created
  ↓
You order from supplier
  ↓
Chemical arrives → Inventory increases
  ↓
You refill tank from inventory → Tank increases, Inventory decreases

Tip

Have employees check tank levels as an opening task. The dual-level tracking means you always know what's on-hand vs. what's in reserve.
